Do I need to get approval from someone to make a purchase or to get reimbursed for a purchase?
Yes. Each organization or fund number has been assigned to a “Budget Manager” who has the authority to approve purchases that are charged to that number. Because the Budget Manager needs to make sure expenses are made within the approved budget, it is important to have this individual approve all purchases and reimbursements either on a check request, purchase requisition, or petty cash. It is also important to take this step for internal control purposes. Principia’s external auditors review our internal control processes to ensure we have processes that prevent fraud or inappropriate practices. We can then report to those who have a vested interest in Principia’s financial well-being that we are operating effectively and using Principia’s assets appropriately.
I need reimbursement for a purchase that I made. What is the best way to get this reimbursement?
You will want to complete a check request form. Please sign it with your supervisor and send the completed form down to the Accounting office via interoffice mail. Accounts Payable will reimburse you via direct deposit. Always attach receipts for reimbursement requests. We do not reimburse for sales tax paid when it could have been exempted. Please always feel free to call us for additional assistance.
I have forgotten my user ID and password for ePrint. What do I do?
Alison Telschow at ext. 3118 or Sara Thorndike at ext. 3103 can give you your user ID and reset your password for ePrint and Self Service Banner. Sandy Laurie at ext. 3384 or Roberta Day at ext. 3520 can answer questions and help you access VISM.
In reviewing my ePrint report, I am noticing that one of the charges is in the wrong account. What do I do?
We can make a journal entry for you to move this charge from one account to another. Please see “requesting accounting changes” on the Accounting website under General Ledger Accounting for the form that is needed to make this change. Please send the completed form to Sandy Laurie.
